Do not refuse a passport copy before checking which rule applies

If you are a foreign guest without an address in Japan, official lodging guidance asks the property to record your nationality and passport number, see the passport and keep a copy with the guest register. If you have an address in Japan, that specific passport-copy procedure does not apply to you—explain this calmly and show proof of your Japanese address if needed.

The additional nationality, passport-number and passport-copy procedure above is specifically for a foreign guest who does not possess an address in Japan. Give the ordinary register details and be ready to show evidence of your Japanese address if the distinction needs to be confirmed.

Do not turn this distinction into a confrontation. A property may need to verify the information entered in its guest register or may ask for identification for another lawful operational reason. Ask which record is required and why. This page cannot decide an individual dispute.

Before arrival

Prepare these five things

1Reservation name

Use the same spelling as the booking and keep the confirmation number, property address and official contact method available offline.

2Identification

Bring the passport used for the trip. Residents of Japan should also bring something that can help confirm their current Japanese address.

3Arrival time

Read the stated check-in window. If a flight or train delay makes you late, contact the property before its deadline through the booking platform or official website.

4Payment details

Check what is prepaid, what remains due, the accepted payment methods and whether an accommodation or bathing tax is collected locally.

5Meal and access deadlines

Ryokan dinner, last entry, shuttle buses and staffed reception can have fixed times. A confirmed room does not guarantee that every service stays available after late arrival.

Late-check-in rules are property-specific. A hotel may have a 24-hour desk, while a small ryokan or private lodging may not. The booking’s no-show, cancellation and meal terms still apply. Use a contact shown inside the trusted booking platform or on the property’s official website.

Many staffed properties can hold bags, but it is not guaranteed. Confirm the same-day hours, size limits, valuables policy and whether a delivered suitcase will be accepted in your name.

Dinner may start at a fixed time and cannot always be moved. Tell the property about allergies or dietary restrictions before arrival; do not assume every request can be accommodated.

Shoes, yukata and futon

Follow the entrance’s shoe instructions. A yukata is casual indoor wear when the property permits it. At a traditional room, staff may prepare the futon during dinner or at a stated time.

Private lodging and self check-in

Identity checks can happen without a front desk

Registered private-lodging operators must keep a guest register and confirm each guest’s identity. Official guidance allows an in-person check or an approved equivalent using information and communications technology. For a foreign guest without an address in Japan, the official procedure also covers nationality, passport number, passport presentation and retention of a copy.

  • Confirm the property’s permit or notification number and exact address in the trusted listing.
  • Follow only the check-in method supplied through the booking platform or another verified official channel.
  • Do not send a passport image to an unexpected email address, social-media account or domain merely because a message claims to be the host.
  • If the request looks different from the original booking instructions, contact the platform or property using contact details you locate independently.
